Terms & Conditions and Cancellation Policy

Welcome to The Rowing Experience. By registering for an event, retreat, clinic, camp, lesson, or coaching program offered by The Rowing Experience (“TRE,” “we,” “our,” or “us”), you agree to the following Terms & Conditions.
Registration and Payment
Full payment or the required deposit must be received to reserve a participant’s spot.
Registration is accepted on a first-come, first-served basis. Event capacity is limited, and registration is not guaranteed until payment has been received and confirmed.
We reserve the right to refuse participation to any individual whose skill level, conduct, or physical condition may create a safety risk to themselves or others.
Participant Eligibility
Participants are responsible for ensuring they possess the necessary skills, fitness, and experience required for the event they register for.
Participants must provide accurate information regarding:
- Rowing experience
- Medical conditions that could affect participation
- Emergency contact information
- Dietary restrictions and allergies
Failure to provide accurate information may result in removal from the event without refund.
Assumption of Risk
Rowing, boating, athletic training, transportation, and outdoor recreational activities involve inherent risks, including but not limited to:
- Capsizing
- Falling
- Equipment failure
- Weather-related hazards
- Water-related injuries
- Wildlife encounters
- Physical exertion
- Transportation-related incidents
By participating, you voluntarily assume all risks associated with these activities.
Participants may be required to sign additional waivers before participating.
Safety Requirements
Participants agree to:
- Follow all instructions provided by coaches, staff, volunteers, and event personnel.
- Wear required safety equipment when instructed.
- Notify staff of any medical conditions, injuries, or concerns.
- Exercise sound judgment while participating.
The Rowing Experience reserves the right to remove any participant whose conduct creates a safety concern or disrupts the experience of others.
No refund will be provided for removal due to safety violations, misconduct, or failure to follow instructions.
Weather Policy
Rowing and outdoor activities are subject to weather conditions.
Schedules may be adjusted due to:
- Lightning
- High winds
- Severe weather
- Water conditions
- Safety concerns
Alternative activities may be substituted when practical. Weather-related schedule changes do not qualify for refunds.
Housing and Accommodations
When housing is included:
- Room assignments are determined by The Rowing Experience.
- Participants may indicate preferences, but specific accommodations cannot be guaranteed.
- Participants are responsible for any damage they cause to lodging facilities.
Any charges assessed by lodging providers due to participant damage, excessive cleaning, or misconduct may be charged to the participant.
Photography and Media Release
Participants grant The Rowing Experience permission to photograph, film, and record activities during events.
These images and recordings may be used for:
- Marketing
- Social media
- Promotional materials
- Website content
- Future event advertising
Participants who prefer not to appear in promotional materials should notify us in writing before the event.
Cancellation by Participant
Cancellations received on or before July 30, 2026
Receive a 100% refund of all amounts paid.
Cancellations received on or after July 31, 2026
Receive a 50% refund of all amounts paid.
Cancellation by The Rowing Experience
The Rowing Experience reserves the right to cancel, postpone, modify, or relocate any event due to circumstances including but not limited to:
- Severe weather
- Safety concerns
- Facility issues
- Instructor illness
- Insufficient registrations
- Force majeure events
If The Rowing Experience cancels an event entirely, participants will be offered either:
- A full refund, or
- Credit toward a future event.
The Rowing Experience is not responsible for reimbursement of:
- Airfare
- Hotel reservations made independently
- Rental cars
- Travel expenses
- Other incidental costs
Force Majeure
The Rowing Experience shall not be liable for failure to perform obligations when such failure results from events beyond our reasonable control, including:
- Natural disasters
- Hurricanes
- Flooding
- Government actions
- Public health emergencies
- Transportation disruptions
- Acts of God
Limitation of Liability
To the fullest extent permitted by law, The Rowing Experience, its owners, employees, coaches, volunteers, contractors, sponsors, and partners shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from participation in any event.
Participant’s sole remedy shall be limited to the amount paid for the applicable event.
Governing Law
These Terms & Conditions shall be governed by the laws of the State of Florida without regard to conflict of law principles.
